This policy explains what personal data Octolade LLC (“Octolade”, “we”, “us”) collects when you use www.octolade.com, why we collect it, and what rights you have over it.
Who we are
Octolade LLC builds AI automation, RAG chatbots and custom AI agents for businesses. For the purposes of the UK and EU General Data Protection Regulation, Octolade is the data controller for personal data collected through this website.

What we collect
Information you give us
- Contact form. Your name, email address, company name and the content of your message, so we can respond to your enquiry.
- Booking a call. Scheduling is handled by Calendly. Any details you enter there are processed by Calendly under their own privacy policy, and shared with us so we can attend the meeting.
Information collected automatically
- Analytics. If you accept analytics cookies, Google Analytics 4 records pages viewed, approximate location (country or city level, derived from a truncated IP address), device and browser type, and how you arrived at the site.
- Session recording. If you accept analytics cookies, Microsoft Clarity may record pointer movement, clicks and scrolling to produce aggregate heatmaps. Clarity masks text input by default.
- Server logs. Our hosting provider records standard request logs, including IP address, for security and reliability.
None of the analytics above run until you accept analytics cookies. Until then they are blocked by default through Google Consent Mode.

Who we share it with
We do not sell personal data, and we do not share it for cross-context behavioural advertising. We use a small number of processors who handle data on our instructions:
- Vercel — website hosting and request logs
- Google (Analytics 4) — website analytics, only after consent
- Microsoft (Clarity) — heatmaps and session recording, only after consent
- Calendly — meeting scheduling
- Email and CRM providers — handling and tracking your enquiry
We may also disclose data where we are legally required to, or to establish or defend legal claims.
International transfers
Octolade is based in the United States, and several of the processors above operate there. Where personal data is transferred out of the UK or EEA, that transfer relies on the European Commission’s Standard Contractual Clauses or an equivalent approved safeguard.
How long we keep it
- Enquiries that do not become projects: up to 24 months from our last contact.
- Client records: for the life of the engagement, then as long as tax and accounting law requires.
- Analytics data: retained according to the GA4 property setting, no longer than 14 months.
- Your cookie choice: stored for 12 months, after which you will be asked again.
Your rights
If you are in the UK or EEA, you have the right to access your data, to have inaccurate data corrected, to have it erased, to restrict or object to processing, to data portability, and to withdraw consent at any time without affecting processing that already took place. You also have the right to complain to a supervisory authority — in the UK, the Information Commissioner’s Office.
If you are a California resident, you have the right to know what personal information we collect and why, to request deletion or correction, and to be free from discrimination for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA.

Children
This site is aimed at businesses. We do not knowingly collect data from anyone under 16. If you believe a child has provided us data, email us and we will delete it.
Changes
If we make a material change we will update the date at the top of this page and, where required, tell you directly.
